Terms & Conditions

By registering for or participating in any Mountain Mama Collective trip or event, you agree to these Terms and Conditions.
Section 1
Registration & Payment
Registration is complete when:
- Registration form is submitted
- Deposit received ($500)
- Liability waiver is signed
Final Payment: Balance is due 30 days before the retreat start date. Late payment may result in cancellation and forfeiture of deposit.
Pricing: All prices are in USD and include taxes/fees unless noted otherwise.

Cancellation & Refunds
Please see our separate Cancellation & Refund Policy for full details.
Cancellation by Mountain Mama Collective: If we cancel due to low enrollment, weather, safety concerns, or force majeure, you will receive a full refund OR credit toward a future retreat.
We are not responsible for incidental expenses (flights, hotels, etc.).
Section 3
Participant Responsibilities
You must:
- Be in adequate physical and mental condition for moderate outdoor activities
- Disclose all relevant medical conditions, allergies, and dietary restrictions
- Obtain medical clearance if you have health concerns
- Notify us immediately if your condition changes
- Follow all safety instructions
- Treat participants, staff, and property with respect
Failure to disclose health information may result in removal from the retreat without refund.
Section 4
Conduct
The following are prohibited:
- Harassment, discrimination, or bullying
- Violence or threats
- Illegal drug use
- Excessive alcohol consumption
- Disruptive, dangerous, or disrespectful behavior
- Ignoring staff instructions
We reserve the right to remove anyone who violates these rules. No refund will be issued.
Section 5
Itinerary
Activities and schedule are subject to change due to weather, safety concerns, or circumstances beyond our control. We’ll provide comparable alternatives when possible.
- No refunds for minor itinerary changes
- Participation in all activities is optional
Section 6
Accommodations & Meals
Accommodations: Room assignments are at our discretion. We’ll accommodate roommate preferences when possible.
Meals: Included meals are specified in the itinerary. We will accommodate dietary restrictions disclosed in advance but cannot guarantee all preferences.
Section 7
Photography & Media
By participating, you grant us permission to use photos and videos of you for marketing and promotional purposes, unless you opt out in writing.
You may not use photos of other participants for commercial purposes without their consent.
Section 8
Liability
You acknowledge that outdoor activities involve inherent risks including:
- Hiking injuries (slips, falls, altitude sickness)
- Weather exposure
- Wildlife encounters
- Equipment failure
- Other participants’ actions
You voluntarily assume all risks.
You release Mountain Mama Collective and its representatives from all liability for injury, death, property damage, or loss arising from participation, to the fullest extent permitted by law.
You agree to indemnify us from claims arising from your participation or conduct.
We carry liability insurance, but you are responsible for your own health, travel, and property insurance.
Section 9
Travel Insurance
Strongly recommended. We are not responsible for losses due to cancellation, illness, injury, or unforeseen circumstances.
Section 10
Force Majeure
We are not liable for failure to perform due to acts of God, war, terrorism, pandemic, government restrictions, natural disasters, or other circumstances beyond our control.
Section 11
Intellectual Property
All Mountain Mama Collective content, logos, and materials are protected by copyright and trademark laws. Do not reproduce without permission.
Section 12
Privacy
We collect personal information (name, contact, health info, dietary needs) necessary to operate events and retreats safely.
We use your information to:
- Process registration and payments
- Communicate about retreats
- Ensure safety
- Comply with legal obligations
We share information with:
- Retreat partners (lodging, activity providers) as needed
- Emergency responders if necessary
- As required by law
Section 13
Entire Agreement
These Terms, together with the Liability Waiver and Cancellation Policy, constitute the complete agreement between you and Mountain Mama Collective.
